Following up with leads who have shown interest in implants.


A "lead" is someone who filled out a contact form, or downloaded an implant e-book, but they haven't become an actual patient yet.


BEST CASE SCENARIO IF WE ARE 100% CONFIDENT


Patients feel like we are organized and professional and do this type of treatment all the time. They are confident they've chosen the right dentist, especially when compared to the poor customer service and communication they've received from other offices.


WORST CASE SCENARIO IF SOME OF US ARE NOT


Patients lose faith in us because we don't respond promptly. They move on to another office that pays more attention to them.



WHAT DOES 100% CONFIDENT MEAN?


We are 100% up to date in our contacts and follow up with implant leads.

There are multiple tabs along the bottom.



1. HOT LEADS - Appt Request


  • These people are HOT LEADS because they have already filled out one of the other contact forms in #2-4 below, and then later have filled out ANOTHER form requesting an appointment.



2. Implant VC Requests


  • These people have filled out a contact form requesting a "Virtual Consultation". The doctor reviews the form and the records a custom video describing solutions and offering an in-person consultation.


These first 2 tabs are people who have filled out a contact form and downloaded our implant guide e-book. There are 2 tabs because we are currently testing 2 different ad campaigns, but you can treat them the same.

WHEN DO YOU FOLLOW UP WITH THESE LEADS?


The contact sequence is noted in the top couple of rows of each sheet.


Each lead should be called AND texted at the appropriate date.


Since these leads are receiving automated emails, there is no need to email them again.

RECORD KEEPING IN GOOGLE DOCS

It's important to make note 1. when you reached out & 2. what the result was on the google sheet under the appropriate 1st, 2nd, or 3rd follow-up attempt.

TRANSFER TO APPOINTMENT NOTE

Once booked, now is the time to transfer the info obtained. Inter-office communication is one of the greatest tools we have. Any and all info you gather from your interaction with the patient on the phone, via email, or by text could be important to transfer. Too much ... is just enough - you never know what could help the next person connect and build that relationship.
