BEST CASE SCENARIO IF WE ARE ALL 100% CONFIDENT:
We ask and the patient provide their feedback via google reviews! We consistently received 15+ new google reviews every month. It’s easy for new patients to see that Smiling Dental is the best and an easy choice based on the amount, and quality of patient reviews we’ve received. Our new patient numbers grow and the office thrives.
WORST CASE SCENARIO IF SOME OF US ARE NOT 100% CONFIDENT:
We don’t ask, our google reviews go stale. Other offices overshadow us because our patient reviews are lacking. They choose to call another office instead of us and our monthly new patient numbers drop.
WHAT DOES 100% CONFIDENT MEAN?
Asking at least 80% of appropriate patients every month for a google review.
The goal is to obtain 15+ new google reviews each month.

What makes a patient appropriate to ask?
delivery appointment (night guard, crown, Invisalign, whitening, etc)
following a cleaning
restorative appointment (less than 4 total units)
final appointment in the treatment sequence
ANY youth visit
Who should we NOT ask?
patients in for extractions
when referring to a specialist
first visits
appointments with sedation
doctors visit 6units +
How do we identify these patients ahead of time?
print day sheet for the following day
audit the schedule and highlight the appropriate patients on the day sheet using the criteria above

Verbally asking a patient in office is the best and most effective way to have a patient complete a google review. Providing patients with the postcard/QR code helps make it even easier for patients to take the next step and act on our request.
How to ask
Where: Front Desk
Start by asking how their visit was today?
“I’m so glad you had a good experience, I know you were a bit anxious when you came in. This QR code will bring you right to our google review page, we'd love you to share your feedback there too!

If we are out of post cards – ask and follow up with an email to help make it easy as possible for the patient to take action.

Having a template to go off makes it quick and easy to send out. All that needs to be done is a bit of personalizing. This will help to guide our patients in deciding to complete the google review by making it personal.

What if someone has already left a google review?
They can update their review! While this doesn’t increase the total number of reviews, it will move their review to the current date and provide new details and feedback for others.
Accountability
How do we know if we are on track:
Asking at least 80% of appropriate patients a month?
use the day sheet prepped for identifying appropriate patients
circle all patients that were asked and place a QR or E to indicated if the ask was in addition to QR postcard or email.
monthly - count total asked and total appropriate patients to determine if 80% of appropriate patients were asked.
record answer (yes or no) in monthly stats - google drive sheet
2. Obtaining 15+ google reviews every month?
log into Google My Business and count the new reviews for the month.
